- TERMS AND CONDITONS - 

 

These Terms and Conditions apply to all tours that IceHover – Svifnökkvaferðir ehf provide and are accessible on the company‘s website www.icehover.is. By booking a tour with us you accept these terms and conditions, understand their implications and accept responsibility for your participation in the tour.

 

1 - FEES AND BOOKINGS

 

1.1 All tour fees include VAT.

 

1.2 All tour prices are in Icelandic Krona (ISK). IceHover – Svifnökkvaferðir ehf cannot be responsible for currency fluctuations or additional fees, such as credit card fees, bank transfer fees etc.

 

1.3 IceHover – Svifnökkvaferðir ehf reserves the right to change prices already published in our price lists and on our website without notice. Bookings and invoices that have been paid in full are not subject to price changes.

 

1.4 Special offers and promotional codes cannot be applied to a reservation after the booking has been made, such as, in the form of a refund. Promotional codes and/or other special offers must be entered in the relevant field located on the payment page upon check-out at the time of booking, to be valid and applied.

 

1.5 All bookings must be paid in full before the tour booking is confirmed. Payment can be made online on our website via the online booking system, over the phone using a debit or credit card or at our meeting point with onsite booking. Cash payments are only accepted at our meeting point.

 

1.6 Make sure you receive the booking confirmation by email after you have made the booking. Please read through the e-mail to make sure the dates and other information is correct.  Participants are responsible for checking the tour date is correct and for providing us with the right contact information and related details (should we need to contact you to reschedule or cancel the tour – see below).

 

1.7 When checking in at our meeting point we will ask for your booking confirmation code. It is useful to have the confirmation e-mail or ticket accessible in your phone or other smart devices. You don’t need to print it out.

 

2 - CANCELLATIONS AND RESCHEDULING BY CLIENTS

 

2.1 All cancellation and rescheduling must be done by e-mail to info@icehover.is referencing the original booking confirmation number.

 

2.2 IceHover – Svifnökkvaferðir reserves the right to always keep 10% of payment fees, this reflects our administration costs for the booking & making preparations for your tour.

 

2.3 If you cancel your tour with less than 48-hour notice prior to departure no refund will be given.

 

2.4 If you cancel your tour with more than 48-hour notice prior to departure 50% refund will be given.

 

2.5 If you cancel your tour with more than 7 days notice prior to departure 90% refund will be given.

 

2.6 If you don’t show up (“No show”) or are not on time before the tour departure no refund will be given.

 

2.7 If the tour is on schedule and you don’t make it (“No show”) or if you arrive late for the departure no refund will be given. We recommend that participants stay in a hotel or guesthouse close to Hali, our meeting point, the night before the tour.

 

We strongly recommend that you purchase a travel insurance in your home country that covers your cost should you have to cancel your travel reservation with short notice.

 

3 - CANCELLATIONS BY ICEHOVER – SVIFNOKKVAFERÐIR EHF

 

3.1 Safety is our number one priority. All tours can be changed or cancelled at any moment before or during the tour to ensure the safety of both our clients and staff.

 

3.2 All our tours depend on the weather conditions, mainly wind and visibility. The tours can also be cancelled if the lagoon gets packed with icebergs that close our sailing routes.

 

3.3 When we must cancel our tours we contact clients either by e-mail or phone. We try to let participants know with at least two-hour notice before the tour departure time. However, the weather in Iceland can change quickly and weather forecasts are not always accurate, meaning that sometimes we need to cancel at shorter notice.

 

3.4 When a tour is cancelled by us you will be entitled to either a refund or we will change your booking to another date and/or departure time.

 

3.5 If IceHover – Svifnökkvaferðir ehf has to cancel a tour and the participants are unable to reschedule, we reserve the right to keep 5% of the payment to cover the booking and online payment costs.

 

3.6 We are not responsible for any expenses incurred in preparation for or because of a cancelled or rescheduled tour by us, such as, airline tickets, hotel bookings, activity reservation, restaurant reservation etc.

 

Important note - Keep in mind that weather in Iceland is quick to change, but it can also be very different between locations even though they are very close to each other. Sometimes the weather where the tour takes place is over our safety limits but the weather at our meeting point or on the main road seems good. 

 

4 - LIABILITY AND INSURANCE

 

4.1 The tours and all its activities are undertaken entirely at the participants own risk and individuals must accept proper responsibility for their own actions. Accordingly, IceHover – Svifnökkvaferðir ehf does not assume any responsibility for the following, accidents that are caused by its guests, accidents that can be traced to the actions of guests or are caused by factors outside of human control (Force Majeure).

 

4.2 The IceHover – Svifnökkvaferðir ehf is not responsible for any property damaged that occurs during, before or after the tour.

 

4.3 IceHover – Svifnökkvaferðir ehf is not responsible for any expenses, losses and/or other related costs due to delays, changes of flights or other services or because of strikes, accidents, sickness, damage, negligence, weather, war, changes in schedules, or other similar factors outside our control.

 

4.4 IceHover – Svifnökkvaferðir ehf does not assume responsibility for accidents or death that can be traced to the participant´s negligence, acts of third parties or exterior circumstances such as weather, natural occurrences, war or other factors outside our control.

 

4.5 Participants must inform our staff before the tour about any illnesses or injuries that could affect you in any way during the tour.

 

4.6 We advise all our clients to have travel insurance when traveling in Iceland.

 

5 - GENERAL

 

5.1 You must always be willing to comply with all safety regulations and follow the directions from the staff at all time during the tour.

 

5.2 We will provide you with all the specialist safety equipment. You will only need to bring the items described in your tour description.

 

5.3 Age restrictions apply to activities and can be viewed in our tour description.

 

5.4 Photographs of the activity may be used for promotional purposes unless you notify our staff otherwise at the time the photographs are taken.

 

5.5 Drinking alcohol, use of drugs and/or smoking are not allowed on any of our tours. We reserve the right to refuse participants we believe who are under the influence of drugs and alcohol. In such circumstances, no refund will be given.

 

5.6 We reserve the right to refuse participants whose conduct or manner is likely to cause offence, upset or put other passengers in danger. In such cases, cancellation charges apply.

 

5.7 Participants are not allowed to fly drones on our tours.

 

5.8 Appropriate footwear and suitable outdoor clothing must be worn. We reserve the right to refuse clients who are dressed inappropriately or wearing an inappropriate footwear since this will put the client’s well-being and safety at risk.

 

5.9 These ‘Terms and Conditions’ are subject to Icelandic law only.

 

5.10 If you have any special needs or requests you can add a comment with our online booking or alternatively, send us an e-mail to info@icehover.is. We always try to fulfil our customer’s wishes, where possible.
